Privacy notice
Last updated 10 October 2026
This notice explains what personal information Hare & Arch collects through this website, why we collect it, who sees it and what your rights are. It is written to meet the UK GDPR and the Data Protection Act 2018, and we have tried to keep it readable.
Who we are
The controller of your personal data is Hare & Arch, a web design and SEO studio based in Maidenhead, Berkshire. That means we decide why and how it is used. You can reach us at hello@hareandarch.co.uk.
What we collect and why
If you use the contact form, we collect your name, your email address, your business name if you choose to give it, and the message you write. We use these to reply to your enquiry and, if you want to go ahead, to discuss and quote for a project. When you send the form we also email a short acknowledgement to the address you gave us. If you email us directly, we receive your address and whatever you write, and we use it in the same way.
Our lawful basis is legitimate interests (Article 6(1)(f) of the UK GDPR). It is reasonable and expected that a business will read and answer an enquiry sent to it, and the information involved is small. Where you ask us for a quote or for work, we are also taking steps at your request before entering into a contract (Article 6(1)(b)).
We don't ask for anything we don't need. Please don't put passwords, card numbers or other sensitive details in a message.
Like any website, ours is served by a hosting provider whose servers handle technical information, such as your IP address and the type of browser you use, when your device asks for a page. This is needed to deliver the site and keep it secure, which is also a legitimate interest.
Cookies
We don't currently use analytics or advertising cookies. The site uses only what is strictly necessary to serve it to you, which does not need your consent. If we add analytics or anything else that does, we will update this notice and ask for your consent first.
Who receives your information
Messages from the contact form are delivered to us by email through Resend, an email delivery service that acts as our processor. It handles your message only to send it on our behalf, under data processing terms. Once delivered, the message sits in our business mailbox, where only the people at Hare & Arch who need it can read it. Our hosting provider also processes the technical data described above.
We don't sell personal information, and we don't pass it to anyone for their own marketing.
Some of these providers handle data outside the UK, including in the United States. Where that happens we rely on a safeguard recognised under UK law, such as an adequacy arrangement or standard contractual clauses with the UK addendum, so that your data stays protected to a comparable standard.
How long we keep it
We keep enquiry messages only for as long as we need them. That covers dealing with your enquiry, carrying out any work that follows, and a reasonable period afterwards in case you get back in touch. If an enquiry doesn't lead to work, we delete the message once there is no reason left to keep it. Records of work we do for clients, such as quotes and invoices, are kept for as long as the law requires for business and tax records.
Your rights
Under UK data protection law you have these rights.
- To be told how your data is used, which this notice is for.
- To ask for a copy of the personal data we hold about you.
- To ask us to correct anything that is wrong or incomplete.
- To ask us to erase your data, in some circumstances.
- To ask us to restrict how we use your data, in some circumstances.
- To object to us using your data on the basis of legitimate interests.
- To ask for your data in a portable format, where that right applies.
To use any of them, email hello@hareandarch.co.uk. We will normally reply within one month. There is no fee for an ordinary request, and we may ask you to confirm who you are before we share anything.
Complaints
If you are unhappy with how we have handled your personal data, please tell us first so we can try to put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk. You don't have to contact us before you do.
Changes to this notice
If we change how we use personal data, we will update this page and the date at the top. The version on this page is always the current one.
